Highlights: MGMA Tech Fair/ProtoMED Users Conference

ProtoMED 4.4 Classroom Sessions

As most of you already know, Maryland Medical Group Management Association held its first annual "Techknowledgy Fair" last March 28th - where vendors of all sorts were asked to display their wares, provided they had some tie to practice management. MGMA also offered a few practice management vendors (those with significant client base in the Baltimore/Washington region) a chance to provide for separate breakout sessions reserved as users conferences. ProtoMED is grateful for the MGMA invitation. We took the opportunity to provide both morning and afternoon seminars with a focus on our new 4.4 release - highlights are listed below.

The technology fair theme was a tremendous success - a great service provided by Maryland MGMA (one of the most active MGMA organizations in the nation). Equally successful was the fantastic turnout of ProtoMED users! We thank each and every one of you for your fab presence - the feedback that we received tells us that the majority were very satisfied with both the event and the "Proto" information that they had received.
The ProtoMED turnout also had a positive impact on MGMA - members got to see and hear from so many informed ProtoMED users! Hopefully, ProtoMED clients will be motivated to join this very active MGMA chapter.

ProtoMED Breakout Sessions
Four vendors were asked to conduct user seminars: ProtoMED, Medical Manager, Medical Mastermind, and Misys. For the morning sessions, each of the other vendors had a handful of attendees in their classrooms (each classroom had a capacity for approximately fifty attendees) - ProtoMED had fifty-five attendees! By the afternoon, all other vendor classrooms were empty and ProtoMED had standing room only!

Tim Griffith and Ted Sanders conducted the morning seminars - and they did a great job! Our very own training coordinator, Tim Griffith opened our training seminars with a session on improving claims management efficiency via the ProtoMED 4.4 Claims Manager. Ted followed with a detailed seminar on one of the most sophisticated new 4.4 features: our very unique Electronic Remittance Advice enhancement with the ability to store remittance information and review/post the ERA information at anytime. . But during breaks, the crowd kept asking for "the man" - our very own support Guru - LaMonte Odum. The "where's LaMonte" chants continued until the afternoon when he conducted a seminar on how to write your own MS Queries. Finally, we wrapped up with a quick sneak peek of new development, including the "full screen" version of ProtoMED with its new schedule.

The bow-tie guy had a separate function at the MGMA conference - he was asked to speak to the general audience on the topic of "The Future of EMR"; therefore, a "proto-friendly" crowd was definitely on the bow-tie wish-list. Thanks again for attending - the incredible ProtoMED attendance certainly helped get the old guy through his stage-jitters.

Winners: Grand Prize - $500
Dawn Barnard from Cross Keys Pediatrics (center) was awarded a $500 grand prize as last year's ProtoPOINTS winner.

Darlene Heverin from the Queen Anne's County Health Department (on the right) received one of two $50 cash prizes.

Kathy Wise from Pine Grove Pediatrics (shown on left) received the second $50 cash prize.


Winners: Furthest Distance Traveled
Pat Klosek and Pam Maxwell from Nephrology Associates of South Carolina share a $100 prize for the most distance traveled. Pam is on the left and Pat is on the right with LaMonte in the center.

We were very pleased to see Pat and Pam. They had to travel a good distance and they probably learned very little since they have been very active in testing the BETA version of ProtoMED 4.4. We are very grateful for the efforts of these two bright ladies - our clients will be enjoying a more robust 4.4 due to their critical review and great suggestions.

ProtoMED 4.4 Slated for Mid-July Release

The hotter it gets, the closer we are to "getting more with ProtoMED 4.4"! The new release should be available for general distribution by mid July. The general release will be available FREE OF CHARGE to all clients in good standing. This is the last sub-release of the 4.xx series. We have already begun work on the 5.xx series - a dramatic facelift with a new scheduler and a new "patient container" concept.

Here is a brief list of new and improved features:

NEW! ProtoCHART Electronic Medical Records, complete with a seamless interface into ProtoMED for both patient demographics and billing. This tablet based system provides for full support of pen, handwriting recognition, and voice. Physicians can create and retrieve clinical records during the patient encounter without interfering with the clinical encounter. Billing is accomplished via a single push-button with full compliance assured via the ProtoCHART Billing Wizard.


NEW! Electronic Remittance Advice which automatically posts your insurance payments for you (limited availability by payer). Our approach is very unique to the industry, in that the ERA is stored on our undistributed list and can be reviewed prior to posting. This eliminates the many posting inaccuracies that result in so many other vendor ERA products. Sign up today, the feature is free - the service is a per unit charge of $1 per ERA. The service charge is billed on your monthly support statement.



NEW! E-Statements send your patient statements through the ProtoCLAIMS clearinghouse and directly to the post office! All printing, stuffing, and mailing is done for you with one "click"! Similar to our ERA feature, this new feature is included free of charge. A service charge of $0.55 is assessed for each E-statement produced. The service charge is billed on your monthly support statement.


Phone numbers now print in block 33.

New and improved reports including: Patient List By Diagnosis Codes, Visits By CPT Code, Summary A/R and Detail A/R.

NEW! Clinical notes archival screen available from the ProtoMED patient demographics screen. If you purchase ProtoCHART, you will have the ability to "cross-populate" your clinical records into your patient demographics screen. You can also "cut and paste" existing WORD documents into this archival area.


Improved Universal Referral Form that no longer requires an authorization number.

Improved Claims Manager features three times the status codes of our previous version: track by Accepted/Rejected Clearinghouse, Accepted/Rejected Payer, Wait Payer, Open Credits, etc. You can also easily group all insurance by the first five letters of the insurance name, providing for convenient consolidation of all your Aetna or BC accounts, etc. You can also review items aged by last bill date.


Updated Help Manual - the Help manual reflects all the new features and has been bolstered to assist as an online training tool.
